General Rental Policy

Availability

  • Check the Rental Hall Calendar to determine availability for your desired date. On the Availability Calendar, dates shaded in GREEN or PURPLE means that the rental hall is available. Dates in Purple means that a meeting is taking place in the Meeting Room, which is separate from the Rental Hall, and that Renters should respect that others are in the building and keep noise to a reasonable level.
  • The building contains a rental hall as well as a meeting room. The meeting room is reserved for the American Legion Only. Some dates on the calendar show that the rental hall is available but the meeting room is occupied. The meeting room activity should not normally interfere with any rental hall activity.
  • The Rental Hall is available from 8:00 AM until 10:00 PM. All  events must end by 9:00 PM. In all cases, the hall must be vacated, cleaned and locked by 10:00 PM. Exception to the 10 PM deadline is available for New Year’s Eve only by specific authorization from the Rental Coordinator.
  • All Reservations with the exception of short notice memorial services must be made and paid in full at least 14 days in advance. 

Fees / Payments

  • All payments must be made by Paypal, check or cash. Returned checks are subject to a charge of $35.00 plus all legal costs of collection. Payment can be mailed to : American Legion Post 247, P.O. Box 655, Remington, VA 22734.
  • The Post 247 representative may require Driver’s license information for the person renting the venue, for verification purposes.
  • A $100 Deposit is required at the time of the Facility Tour to confirm venue reservation. If the event is canceled within 14 calendar days of the scheduled event, the full security deposit will be forfeited. 
  • The Renting Party is responsible for and agrees to pay the American Legion for any and all damage to the hall, or any contents of the hall which arises from, or is related to the rental of the hall. This includes, but is not limited to, damage to the restrooms, tables, chairs, lights, cabinets, TV or any other property or assets owned by the American Legion. If the renter leaves the hall, kitchen, appliances, restrooms, or parking lot dirty, or damaged, the security/cleaning deposit will be forfeited, and compensation for damages will be additional to the security deposit.
  • If, upon inspection, the rental coordinator determines that the hall is in the condition in which it was presented to the renter, then the security deposit will be refunded during the second week of the month following completion of the rental. For example, deposits for January rentals are refunded in early February.
  • Full payment for the reservation must be received by a Post 247 representative at least 14 calendar days in advance of the event.
  • There is a one (1) hour minimum requirement for meetings and two (2) hour minimum requirement for parties/events. Events will be billed in full hour increments.
  • Any event which is 5 hours or more duration will be charged a refundable $300.00 security cleaning deposit. All other events will be charged a standard $100 refundable security/cleaning deposit. Upon inspection after the event, if the hall or any contents are dirty or damaged, the security deposit will be forfeited. If the hall is clean, and undamaged, the security deposit will be refunded during the following month.
  • EFFECTIVE 01 JANUARY, 2024, RENTAL RATES ARE INCREASING AS FOLLOWS:

Rental Process Timeline

  • Rental Agreement must be completed and submitted online at least 14 calendar days prior to requested dates unless specifically waived by the Post 247 Representative.Typical exceptions are for funerals/wakes.
  • Renter must attend a facility tour and briefing normally held on Tuesday evenings at 7:00pm to review the hall, as well as rental, cleaning and closing procedures. The tour and briefing is about a 30 minute duration event. Renters shall choose their desired facility tour date when making the reservation online. Renter must normally complete the facility tour within 4 weeks of submitting the reservation request.
  • Full payment of deposit and fees must be received by American Legion Post 247 at least 14 days prior to the scheduled event.
  • An American Legion Post Representative will inspect the Hall and its equipment before and after the event to ensure the same is in proper condition.

Rental Hall Amenities

  • The American Legion rental hall is approximately 45 feet long by 45 feet wide. 
  • Dimmable LED recessed lighting.
  • 8 ft rectangular tables and folding chairs provided
  • Wireless microphone and Bluetooth amplified sound available
  • TV available to use for videos, business meetings, etc.
  • Kitchen included in rental. not a commercial food prep kitchen; more like an apartment kitchen with a cooktop, oven, microwave to heat prepared foods.
  • refrigerator available
  • 1 restroom located in the rental hall. 2 additional restrooms available by kitchen.

Kitchen

  • The cooktop, oven and microwave are available for use to warm prepared foods.
  • Renters are responsible to provide their own utensils, pots, pans, cookie sheets, bowls, hotpads, trivets, pitchers and spices.
  • Except for the cabinets below the sinks, all cabinets are off-limits to renters. Those cabinets contain property of the American Legion and are not intended for use by renters. Violation will result in security deposit forfeiture.
  • Refrigerator space may not be available depending on other events at the post. Renters should plan to bring coolers as needed.
  • Renters are responsible to provide ice if needed. The Post does not have an ice dispensing machine.
  • Our building is serviced by a septic system. ALL FOOD WASTE, OILS AND GREASE MUST BE DISPOSED IN THE TRASH, NOT IN THE SINK DRAIN.

 Setup / Decorations

  • The Renting Party shall coordinate with the Post Representative to arrange setup time (not earlier than 8AM) and closing time (not later than 10:00 PM). Normal set up time is 2 hours prior to the scheduled start of the event, but setup shall not be earlier than 8:00 AM. All events are scheduled to end by 9:00 PM to permit one hour for cleaning. If additional cleaning time is anticipated, the event should be completed earlier than 9:00 PM.
  • For events that start prior to 9:00 AM, the hall may be set up/decorated during the evening of the previous day, if no other rentals are scheduled, which won’t normally be known until 14 days prior to the date. If you are certain that you want to set up on the evening prior to your event, and that date is available for rent, you can secure the space for $100 to cover the cost of a minimal two hour rental. For events that start in the afternoon or evening hours, the hall may be set up/decorated during the morning or afternoon of the event day.
  • A limited number of decorations may be attached ONLY to the walls (not the ceilings). Only BLUE or TAN painters tape is to be used for table settings and for all other decorations used throughout the Hall (AVOID STAPLES, TACKS, NAILS, 3M COMMAND STRIPS, PACKAGE TAPE, DUCT TAPE, or SCOTCH TAPE AS THEY WILL DAMAGE THE WALLS AND FURNITURE. Detection of any adhesive other than painters tape will result in a deposit forfeiture. 
  • Avoid using anything other than painters tape to attach decorations or other objects to tables or chairs.
  • All decorations must be removed at the conclusion of the event.
  • The Renting Party is responsible to provide all disposable tablecloths,  paper products, tableware, serving utensils, condiments, kitchen items, pots, pans, cookie sheets, etc. Items owned by the post (disposable paper products, utensils, pots, serving bowls, etc.) are not to be used by the Renting Party. Unauthorized use of said materials will result in forfeiture of your security/cleaning deposit.

Safety

  • Maximum capacity for the Hall is 100 persons and may not be exceeded at any time.
  • All exit doors shall remain unlocked and must remain accessible at all times during an event.
  • Parking is available on the premises. Post 247 assumes no responsibility for any vehicle parked on Post 247 property or any other property in order to attend events held at the Hall.
  • The Renting Party shall comply with all applicable laws and regulations and shall not use or occupy the Hall for any unlawful purpose or permit others to use or occupy the Hall for any unlawful purpose.
  • The consumption or possession of illegal drugs, drug items, or drug paraphernalia is prohibited at all times on any part of the property.
  • Possession of firearms within the Hall is prohibited unless specifically authorized by law and approved by the Post 247 Representative and expressly prohibited when alcohol is present at an event.

Smoking / Flammables

  • No candles or open flames are permitted inside the Hall at any time. Fireworks or pyrotechnics are not permitted on any part of the property at any time.
  • Smoking is prohibited inside the Hall at all times. Smoking is permitted outdoors and smoking material shall be disposed in approved provided containers, located by the exit door only. Renters will forfeit security/cleaning deposit for cleanup of smoking materials, cigarette butts, etc.,  around the outside of the building.

Cleaning

 Renting Party is responsible for Hall clean-up which consists of:

  • All decorations removed from walls, floors, tables and chairs.
  • All food/beverage spills cleaned from floors,  walls, tables, chairs, countertops and cooktops;
  • All Tables and chairs wiped clean, and any adhesive residue removed, whether tablecloths are used or not;
  • Tables and chairs stored properly in the appropriate carts.
  • Kitchen appliances and countertops shall be cleaned if the kitchen is used during the event.
  • Hall, kitchen and bathroom floors shall be swept clean;
  • All trash cans will be emptied and new can liners installed;
  • Parking area and other outside areas will be cleaned of any litter and smoking materials. If an event completes during the hours of darkness, renter shall have the opportunity to clean the parking lot before 9:00 AM the following day before the security deposit is forfeited.
  • All food brought by the Renting Party mustbe removed from the premises at the conclusion of the event.
  • Renting Party is responsible to remove and properly dispose of all event trash from the Post 247 site. Post 247 does not have a dumpster nor a trash pickup service.
  • The security/cleaning deposit will be forfeited and an additional cleaning fee may be assessed if more than minimal cleaning is required to return the hall to rentable condition. 
  • We have partnered with a Cleaning Service which is available for Renters to contract with to clean the premises following your event. Ask the Post 247 representative at the Facility Tour for more information.

Alcoholic Beverages

  • Having alcoholic beverages present at your event either by the host or any guests, requires additional actions on the part of the Renter.
  • Review the Alcoholic Beverage Policy page if you are planning to have alcohol present at your event.

Other Spaces within the American Legion Hall

  • Only members of any recognized American Legion, Sons of the American Legion (S.A.L.) or Auxiliary are allowed to use the American Legion meeting room and the meeting room may not be used for any other purpose except to store empty table and chair carts during a rental event. The use of the American Legion  meeting room is not included in this Hall Rental Agreement. 

General

  • A Post 247 Representative is permitted to be present on the premises at any time during the event rental period.
  • The Renting Party shall indemnify, defend, and hold harmless the American Legion, its Post Officers, and Post Members against any and all demands, causes of action, or any other claim of the Renting Party, its members, agents, employees, subcontractors, patrons, guests, or invitees arising out of or related to the Renting Party’s rental of the Hall.
